How to work fast?

Anyone can work fast only if they know how to manage their time. 

In a workplace, employees who work faster are valued more mainly because they are more productive. They accomplish tasks on time which then contribute to achieving the organizational goals.

Why is working fast important?

Working fast is important because it determines how quickly your business can grow. If a whole company’s staff immediately works on something when they can instead of putting it off until next week, they’ll improve and grow faster than the competition.

Working fast doesn’t mean jumping between work quickly; it means sequentially accomplishing tasks within a set time. The idea is to produce high-quality work within a specific period. If you want to work smart and fast, then consider ways to be more efficient in the same amount of time by thinking through your work habits.

To manage time well, people follow some techniques to complete the maximum number of tasks in a set period. To help you manage your time well, we have put together a list of tips that you can follow to work fast.

To work fast, you should follow these 8 tips: 

1. Track your working time on a specific task

To work fast, the first thing that you need to do is calculate the time you spend on a specific task. This can be done by using a timer or a stopwatch. 

A successful approach that people adopt is to set a pre-determined timeline for a certain task and then attempt to get the task done before that set time. This way, they are able to accomplish tasks quicker. 

Tracking time will also assess the key tasks that take longer than others to complete. You will find out where you wasted time and where you were the most productive. You will be able to schedule your work in a better way by doing this.

2. Put together a work plan 

Time management is incomplete without proper planning. After the tasks have been assigned, the next step is to develop a workable work plan. A work plan in your head is not enough. You get the opportunity to save time in between those tasks. Once you have a work plan, you will never miss deadlines. 

Here we have three tips for you that will help you in planning your tasks in a better way:

Write down everything: After your line manager has assigned you the tasks, make sure you write them down in your notebook. Then, set realistic goals for yourself each day. Don’t overburden yourself for one day and don’t set unrealistic deadlines. An achievable plan will make your work faster, if it is not practically achievable then instead of boosting you towards productivity, you will feel demotivated. Make sure that you plan well and ahead of time. Paste sticky notes in your workspace, they can be very helpful!

Create a brief to-do list: Create a brief to-do list for yourself. Include the major tasks. You will overload your to-do list if you add microtasks. Once you have completed each task, cross it.

Create a long-term plan: If you have any future deadlines coming up, then make sure you complete them before going on vacation. By planning ahead, you will not have any upcoming deadlines to worry about.

By planning well, your tasks will be accomplished smoothly and that too before the deadline. Don’t forget to stick to the plan!

3. Organize your workspace

A workplace that is clutter-free and organized will contribute to your efficiency. This is mainly because you will find anything you need easily. Keep your digital files on the computer organized as well so that you can easily access them when needed. Recycle the papers that are not needed anymore, and get rid of everything that can create clutter. A clean workspace helps work faster, increase focus, and have a clear mind. 

The best way to organize your work belongings is by arranging the materials on your desk in a way that they are easily accessible. Add labels where there is a need so you don’t have to waste time looking for important documents. 

The best practice is to take a few minutes out every day to organize your tools, paperwork, or other work materials for you to access them when needed easily. When you are logging off for the day, make sure that you put everything in place and organize it for the next day.

4. Minimize distractions

There are plenty of distractions at the workplace such as doors closing, the sound of the printer and photocopier, and coffee being served. Distractions can be anywhere, whether you are working from the office or remotely. Hence, it is important to minimize distractions while working. In modern times, our phones are the biggest distractions. Make sure that you put your phones away while completing a crucial task. While working from home, take the necessary steps to avoid distractions. Make sure that you socialize only in your free time and avoid being distracted.

5. Be proactive and stop procrastinating

Procrastination adversely affects productivity. Waiting last minute to get things done is not a good approach. More mistakes are made and the task is not accomplished the way it could have been without procrastination. Instead of delaying tasks or activities, the best approach is to encourage and motivate yourself to get it done within the set period of time. You can treat yourself with your favorite treat when the task has been accomplished. So, bye-bye to procrastination and hello to motivation to work!

6. Set Reminders

Setting reminders is an effective way of getting tasks fully done. There are multiple components of a particular task or project. You can set a reminder for each component. By doing this, all of the components will be accomplished and you will not miss anything while completing the task.

Make sure that you set reminders for minor details that are likely to be missed. At times, people get too busy getting the difficult task done that they forget its little yet easy details. By setting reminders, none of the components of any task will be missed out.

7. Get done with the difficult tasks first 

It is typically understood that starting with the easiest task will get all the tasks done faster. However, starting with a difficult task will make you feel much more relieved when it is completed. You will feel productive and encouraged to complete the remaining tasks fast too.  When you have a number of things to do, make sure that you start with a difficult task and then later move on to the easier ones.

8. Create personal deadlines for the tasks assigned 

To complete your tasks before time, it is best to create your personal deadlines instead of looking at the actual ones. Create your personal deadlines a few days earlier than the actual ones. This way, you will have your tasks accomplished prior to the actual deadline. 

One thing to really keep in mind, a deadline is completely useless if you don’t strictly follow it. If you don’t follow it then the task will not be completed before the deadline. Hence, setting a deadline and then strictly following it is extremely important. 

In conclusion, anyone can work fast by including some changes in their approach to work. The key to working fast is managing time well and setting personal deadlines. Sticking to the routine and also motivating oneself is essential for being able to work fast.
